Context Afro Arab Youth Council (AAYC) was formed in 2004 at the conclusion of the first ever African and Arab Youth Festival held in Khartoum, Sudan as per the Khartoum Declaration. Its headquarters shifted to Kampala in 2008 at the conclusion of the second similar festival in which the youth gathered in Munyonyo decided to construct a permanent home as secretariate for the AAYC in Uganda as per the Kampala communique. The AAYC aims to use practical approaches to deal with youth pressing issues and provide realistic solutions which corelate with the current times. It is therefore an advocacy/lobby group for youth with membership of over 50 countries of the Africana and Arab world including African Union, Arab League and other International bodies.

 

Position Objective Will be working very closely with the Communication and Public Relations Officer. Responsible for recording and archiving files, books, publications and ensuring all team members have access to necessary documentation. You should have an excellent ICT skills.

 

Duties (50%)
  • Create a call center to harness offshore files for industrialized countries and a data base to archive all important information for AAYC youth programs in the member countries.
  • Maintenance of the website and regularly updating and collecting all the data needed and developing it.
  • Ensure that the information available at the website is translated in the three official languages of AAYC.
  • Share important data with member AAYC partners, sponsors and member Organizations.
  • In charge of all the Organization Information systems.
  • Keep a clean and up to date record of the organisations publications, recorded literature, reports (both written and video/audio).
  • Ensure that the organisations functions are well captured or recorded (video coverage/photography etc.)
  • File and record the organisations events in both written and digital records.
  • Manage the flow of documentation within the organization
  • Prepare ad-hoc reports on projects as needed

Required Knowledge Skills and abilities

 

 

  • Very proficient in ICT and its applications.
  • Proven work experience as a Document Controller or similar role
  • Hands-on experience with MS Office and MS Excel
  • Knowledge of Electronic Document Management Systems (EDMS)
  • Proficient typing, Data organization and editing skills
  • Should be in charge of the Internet, works hand in hand with the ISP
  • Ensure that the computers and other related IT gadgets at the office in are a functional state.

 

Academic Qualifications and Experience
  • Bachelor’s degree in Information Management, ICT, Business, Language, Education or a related field from a recognized Institutions.
  • Ability to speak English and Arabic or French is a must.
  • Proven ability to communicate regularly on social media including Twitter, Facebook, WhatsApp, Email, etc.
