Context Afro Arab Youth Council (AAYC) was formed in 2004 at the conclusion of the first ever African and Arab Youth Festival held in Khartoum, Sudan as per the Khartoum Declaration. Its headquarters shifted to Kampala in 2008 at the conclusion of the second similar festival in which the youth gathered in Munyonyo decided to construct a permanent home as secretariate for the AAYC in Uganda as per the Kampala communique. The AAYC aims to use practical approaches to deal with youth pressing issues and provide realistic solutions which corelate with the current times. It is therefore an advocacy/lobby group for youth with membership of over 50 countries of the Africana and Arab world including African Union, Arab League and other International bodies.

 

Position Objective Creating and implementing of the communications plan and engage in all Public Relations of the Organization in collaboration with the Director and Secretary General. Providing advice on international protocol. Writing briefing papers and proposals for senior stakeholders. Building and managing partnerships with international bodies and agencies.  Providing a good image of AAYC with practice engagement with the modern and other Stakeholders.

 

Main Duties (40%)
  • Participates in strategic planning and goal setting for the Unit in collaboration with the Communications & International Relations Director.
  • Communicates with member countries about ongoing programs, projects and events.
  • Schedules engagements of AAYC and follow-up.
  • Supporting and coordinating the development of technical cooperation
    and collaboration between AAYC and the member countries.
  • Updates membership of the Council and follows up on subscriptions of the same.
  • Provides strategic Government and Civil Society relations support to Afro-Arab programs and projects.
  • Co-manages international stakeholder relationships as pertinent to AAYC presence and speaking at external events as required.
  • Develops Afro-Arab stakeholder engagement with Government, multilateral Institutions, and Civil Society on the Future of Work, innovation in the sector.
  • Write analysis, briefing, messaging and speeches as related to Afro- Arab Governments and sustainability relations., and monitoring and evaluation of project impact;
  • In-charge of all the Public Relations and marketing arm of the Organization.
  • Engage corporate partners, sponsors and ensure AAYC is part of corporate engagements.
  • Attend media presentations on radio, TV where AAYC is invited /involvement.
  • Author write-ups and articles for print media, press, radio, online and other forums of engagement.
Protocol Services (10%)
  • Provides advice on the observance and practice of diplomatic protocol.
  • Provides in-person protocol and supervises protocol services and other arrangements for the Secretary and Deputy Secretary Generals.
  • In charge of conducting AAYC tours and travels for AAYC staff, Executive Committee member and work with travel agents.
  • In charge of Corporate Social Responsibility of the AAYC
  • Collaborates with the Communication & Information Director in matters of protocol with Ministries of Foreign Affairs as required.
  • Supervises and facilitates diplomatic relationships and communication with agencies and affiliates, Diplomatic Missions and Governments.
  • Prepares relevant documents to guide the organization on the observance and practice of diplomatic protocol and diplomacy.
  • Works with the Human Resources and other Departments to ensure that all the necessary systems are in place to receive any Executive/staff members from Afro Arab countries.
  • Manage guests’ movement both Local and International
  • Follow up on immigration documentation for both local and International AAYC staff.
Information Management services (5%)
  • Develops, plans, and executes the AAYC Information plans, publications and programs.
  • Prepares and/or reviews speeches, public statements and other documents for the Secretary and Deputy Secretary General.
  • Recommends and implements a program of activities to enhance the reputation of AAYC with internal and external stakeholders.
  • Supervises the dissemination of information to AAYC internal and external stakeholders.
Other duties (10%)
  • Responds to queries from other departments, customers, stakeholders, members of the public and overseas contacts.
  • Maintains regular awareness of the local, regional, and international political and legal climates and events.
  • Assists with the planning and co-ordination of conferences, projects and events.
  • Performs any other related duties as assigned from time to time.

  • Demonstrated knowledge of the principles and practices of corporate communications and branding.
  • Excellent interpersonal, communication (oral and written), customer service skills, sound negotiation and presentation skills.
  • Demonstrated ability in the production of informational materials.
  • Proficiency in the Microsoft Office suite of programs, including Word, Excel and PowerPoint and the ability to learn new software applications.
  • Ability to handle crises in a diplomatic and effective manner.
  • Ability to build trust and credibility and establish and maintain effective working relationships with other colleagues.
  • Ability to work in a multi-cultural, multi-ethnic environment with sensitivity and respect for diversity.

Academic Qualifications and Experience
  • Undergraduate degree from a recognized Institution in Mass Communication, Journalism, International Relations, Corporate Affairs, Law, Marketing, Education, Business, or a related Field.
  • For other relevant fields a post graduate training in International Relations, protocol is an added advantage.
  • Ability to write and communicate in any of the three official languages of the AAYC.
  • Knowledge of functioning of International NGOs
  • Experience in serving in position at leadership district or national level including dealing with people relations is an added advantage.
