Context Afro Arab Youth Council (AAYC) was formed in 2004 at the conclusion of the first ever African and Arab Youth Festival held in Khartoum, Sudan as per the Khartoum Declaration. Its headquarters shifted to Kampala in 2008 at the conclusion of the second similar festival in which the youth gathered in Munyonyo decided to construct a permanent home as secretariate for the AAYC in Uganda as per the Kampala communique. The AAYC aims to use practical approaches to deal with youth pressing issues and provide realistic solutions which corelate with the current times. It is therefore an advocacy/lobby group for youth with membership of over 50 countries of the Africana and Arab world including African Union, Arab League and other International bodies.

 

Position Objective The Administrator’s responsibilities include managing all the support staff and their activities. Manage the overall running of the day-to-day activities of the office and ensure that all staff are comfortable and facilitated to do their work. This will include equipping the office and also ensuring the sanitation of the office is good and staff meals and movement is also catered for.

 

Main Duties (50%)

  • Ensure that the organization premises and offices are always clean.
  • Purchase and equip all the support staff to ensure that they do a very good job.
  • In charge of procurement of AAYC amenities.
  • Ensure to keep record for both procured and available stock.
  • Keep stock of office supplies and place orders when necessary.
  • Draw up individual work plans for the support staff.
  • Create timetables and working routines for the support staff and ensure that they are followed.
  • Assist the other staff whenever needed or is necessary.
  • Ensure the security of the offices and officers while at work
  • Monitor the office machines and stationery. Ensure proper storage of all the machines.

 

Attendance (30%)

Required Knowledge Skills and abilities

 

 

  • 5 years working experience as a Human Resource Officer, Administrative Secretary, or similar position.
  • Knowledge on Human Resource System
  • Experience using word processing and spreadsheets
  • Organizational skills
  • Good verbal and written communication skills
Academic Qualifications and Experience
  • Diploma in Human Resource, Secretarial, Administrative Law, Business Studies or any other relevant field.
  • Strong attention to detail, strong analytical and organizational skills
  • Proficient with Microsoft Office Programs
  • Knowledge on Functioning of International NGOs.
